JOB POSTING: BREWERY ADMINISTRATIVE AND COMMUNICATIONS AGENT
Breakside Brewery is looking for a detail-oriented person to join our team and manage a wide range of day-to-day administrative and communications tasks.
Breakside is an employee-owned, award-winning brewery in Portland, Oregon. This is a unique opportunity to join a team of brewers at a growing, well regarded brewery in the greatest beer city in the world.
This position will be on site at our Milwaukie, OR brewery, and the position will be focused on managing information flow into our ERP software, as well as facilitating an array of internal and external communications. As with all of our staff, we will seek a candidate who can fulfill these job responsibilities in the short term and who looks to take on more responsibilities with the company over time.
Tentative start date for this position is February 28, 2022.
Schedule: This job affords a flexible, 40-hour work schedule Monday through Friday
Reports To: Director of Warehousing and Procurement
Core Responsibilities
- Act as the primary user of the brewery’s enterprise resource planning (ERP) platform. Review and process purchase orders, inventory receipts, brewhouse and cellar logs, warehouse receipts, sales orders, and invoices. Ensure that new items and products are set up properly so that all COGS are captured accurately.
- Work closely with the Director of Warehousing and Procurement to maintain on-hand raw materials inventory, balancing the concerns of cashflow, space, and a changing supply chain.
- Work with the production team to fine tune daily packaging to match fulfillment. Manage the flow of product from production to all internal pub and taproom facilities.
- Work closely with the Logistics Coordinator as an ambassador to our wholesale partners, communicating real-time changes and updating orders with key customers.
- Perform critical functions of the supply chain system such as fulfillment, scheduling, inventory management, new product introduction, etc.
- Manage process of receiving purchase orders from all distributors, generating bills of lading and invoices.
- Work with several teams to schedule trucking/fleet management.
- Attend the weekly brewery leadership team meeting, and act as meeting secretary. Record minutes and action items, compose summaries to be shared with all staff. Prepare the agenda for each week’s meeting.
- Assist with recruitment of new brewery staff. Work with the Brewmaster and Directors to update job descriptions; reply to prospective candidates; schedule interviews.
- Participate on Brewery Subcommittees, including the Safety, DEI, and “Party Planning” committees. Assist committee chairs with follow up items and information sharing.
- Assist in planning and execution of monthly Production Meetings.
- Function as a primary conduit of internal company communications between, liaising among brewery leadership, production staff, and other company (non-brewery) staff.
Approximate Work Distribution
- Administrative work and data entry on our ERP software (60%)
- Communications work (30%)
- Other administrative work (10%)
Preferred Qualifications
- Two years or more experience in the beer (or similar) industry in a relevant sales, marketing, logistics, customer service or administrative position
- One or more year(s) working in a position involving inventory management and tracking
- Experience working with ERP and other inventory management software, preferably EKOS
- Excellent oral and written communication skills with a painstaking eye for detail
- Working knowledge of spreadsheets, key financial reports
- Ability to take direction and accept constructive feedback
- A passion for craft beer, with a dedication to our core values and beliefs
Physical/visual activities or demands that are commonly associated with the performance of the functions of the job
- Moderate physical demands requiring frequent manual lifting/moving of materials weighing 5-25 pounds and occasional lifting/moving materials weighing 25-60 lbs.
- Flow of work and duties require normal mental and visual attention; visual requirements include depth perception, color vision, and clarity of vision for distant (20 feet or more) and near (less than 20 inches) work.
- The brewery is a manufacturing environment where exposure to moisture, heat, electrical current, refrigerated areas, noise and moving machinery are frequent during the day.

Breakside will offer a full benefits package including health insurance and paid vacation. The salary range for this position is $35,000-$42,000 per year, depending on experience.
