Job Summary:
The full time Office Coordinator will work at our Venice Beach location and serve a multi-functional role completing human resource, administration and bookkeeping tasks.
Essential Job Duties and Responsibilities:
Specifically, the responsibilities of the position include, but are not limited to:
Human Resource Tasks
• Process new hires & separations for the Venice Beach location
• Act as HR liaison between HR headquarters and Venice Beach location
• Complete local personnel document filing and organization for retail/restaurant location on behalf of retail/restaurant management
• Complete data Entry into HRIS system as needed
• Complete timecard review at the end of the pay period to ensure accuracy and provide approvals to payroll
• Scan personnel documents and email to HR headquarters
• Perform end of pay period timecard reviews for retail/restaurant including meal break violations
• Handle employee relations issues at the Venice Beach location, complaint resolution and conduct investigations as needed; advise managers on appropriate resolution of employee relation matters in accordance with the HR Director, company policy and laws
• Track 90-day performance evals for completion and saving to personnel files
• Review and approve disciplinary actions in HRIS system
• Ensure company policies are being followed at the Venice location
• Complete other projects as needed
Bookkeeping Tasks:
• Post Venice Beach retail/restaurant sales, deposits and vendor invoices to our SAP Business One accounting software and complete reconciliations
• Reconcile daily Brewstore transactions to SAP Business One
• Assist with monthly inventory review and reporting;
• Assist with costing and reporting inventory transfers and promotions
• Handle the chargebacks received for the Taproom/Brewstore
• Track and reconcile Caviar and GoTab transactions.
Admin Tasks:
• Manage the mail; open, sort and distribute incoming mail and process outgoing mail
• Order, stock and organize office supplies
• Direct incoming calls, requests for information or other to appropriate individuals
• Manage the on-site apartments, linens and cleaning coordination
• Handle the reservations for the meeting room
• Other duties/projects as assigned
Required Qualifications:
• Bachelor’s Degree in Business Administration with a concentration in Human Resources and Accounting (or similar) preferred; at least one year of prior work experience completing the above or similar job duties
• Strong written and verbal communication skills; bilingual in English & Spanish
• Knowledge of accounting principles, completing journal entries, human resource functions and labor laws
• Strong time management skills with ability to re-prioritize and meet deadlines while being pulled in multiple directions
• Ability to work independently
• High attention to detail and accuracy, team player, ability to maintain confidentially, quick learner, strong interpersonal skills and organizational skills
• Prior experience working with information systems and data entry
• Strong computer skills with proficiency in Microsoft office suite of programs
